💡 Push-to-talk during the exercise only works if your organisation also has push-to-talk

You have scheduled an exercise and want it to go well. The exercise page shows what needs to be arranged beforehand and what will be practised. On the day itself, you start the exercise and assess how each step goes while your team practises.

Preparing the exercise

Open the exercise from Planning. Under Preparation on location, tick off what has been arranged, such as a room or role players. Use Add checklist item to add a point of your own. Other admins also see what you tick off.

Under Scenario and criteria, you read the steps of the exercise and what to look out for. Background information contains texts for the people you brief beforehand, such as the person playing the casualty. Use Copy text to pass them on.

On the right, you see for each participant whether they have responded and whether they are on location. If someone has not responded yet, use Send reminder to send the invitation again. You can do this once every 24 hours. Under What participants receive, you see what the exercise alert looks like. It does not say what is really going on.

Starting the exercise

You can start the exercise at any time on the scheduled day. The time is a guideline. On any other day, the button is switched off.

  1. Click Start exercise.

  2. Under Who's taking part?, check which participants are ticked. Only participants who are on location are listed.

  3. Untick anyone who is not taking part.

  4. Click Yes, start exercise.

The Ready to start the exercise window with the ticked participants

The ticked participants receive an exercise alert in the app. If there are fewer participants than the exercise needs, or preparation points are still open, you see a yellow message and the button says Start anyway. If nobody is on location, you cannot start.

During the exercise

After starting, you go to Active exercise. The participants and the timeline are on the left, the scenario in the middle and push-to-talk on the right. The dashboard connects you to the exercise channel straight away. If push-to-talk is switched off in your profile, switch it on with Switch on push-to-talk.

  1. Under Scenario and criteria, expand a step.

  2. For each criterion, choose Good, Point of attention, Wrong or Not assessed. Choose Not assessed if a criterion does not apply to your situation.

  3. Add a note under the criterion if needed.

The dashboard saves everything you choose and write straight away. If you leave the screen, the exercise keeps running. You get back via To the exercise on the exercise page.

Completing the exercise

  1. Click Complete exercise in the top right.

  2. Confirm with Complete exercise.

  3. Choose Evaluate and discuss exercise to evaluate straight away, or Close the exercise to do it later.

When you complete the exercise, the exercise alert also closes for the participants. If you forget to complete it, Safeguard completes the exercise eight hours after the start.
