Through Planning, you can send presence availability requests to responders. With the Reporting and Alerts features, you can monitor attendance and take action if patterns are detected.
But what if summer is coming up; will you still have enough people available? Hosting a company event; Who is willing to help as a responder?
Request availability
Start a request by clicking New request. A window will open where you can fill in the request details. These are the fields:
Give your request a name
Request description
Responders will receive this message via a push notification
Period or single day: from–to or a specific date
Which location is this for?
Whose availability do you want to request?
Next, enter how many people you need per group, per day. If you enter 0, availability will not be requested for that day.
Optionally click View recipients to check who will receive the request. When everything is set correctly, click Send.
How we decide who receives a presence request
Users who are part of the groups you selected will receive the presence request.
We also take default locations into account:
If a user has default locations, they will only receive the request if it matches one of those locations.
If a user has no default locations, they will always receive the request.
View results
Click a request in the calendar or at the top under Requests. A separate window will open. Here you can see the request status: who received it, and on which days you are still short on people.
You can click on specific days to view a detailed overview.
Within this screen, you have several options:
Mark as completed
The request can no longer be filled in
Delete request
The request will be removed and will no longer be visible to administrators
Send reminder
Send another push notification to the responders who were already asked
