Create and send questionnaires for inventory purposes, with options for publication, notifications, and Excel export.

Surveys are available to easily inventory in your organisation. You can find them under the Bulletin Board function. Click on Add in the Bulletin Board function to create a survey.

A survey must have a title and a description. The description field can be used to provide explanations about the survey and why it needs to be completed.

Compile a Poll

Press the + icon to add a question. Multiple types of questions can be added: multiple choice questions, single choice questions, or an open question. To make this easier for you, we also added yes/no and score question options.

When you click on a question, a window appears on the right with question settings. This includes an option to duplicate a question including its answers, or to delete the question.

Questions can be set to optional or required. When required, the user will need to provide at least one answer.

Provide extra information

The text block question type in the list isn't a question. You can use this block to provide additional information, or split the survey into sections.

Sending the Poll

Saving and publishing a survey works the same way as other bulletin board functions. This way, it is possible to immediately inform users. You can of course also send a notification as a reminder.

Please note that changing a survey after it has been sent may affect the results.

View poll results

You can view results from the overview. Click on the icon next to edit to go to the results. On the left side of this screen, you can see the received results, and on the right, the users who have completed the survey. Click on a user to filter the results of that user. Click on that user again, or click show all to see all the results.

Exporting results

From the results screen, you can view or export the results. Press the Export button to download an Excel file with all the completed results.

Example: Availability per week

To make an inventory of availability during the summer holidays, for example, we want to know who is not available per week.

Example description: When are you free?

For this we make a list of questions with the week number and dates:

  • Week 27 (10 July - 14 July)

  • Week 28 (17 July - 21 July)

  • Week 29 (24 July - 28 July)

  • Week 30 (31 July - 4 Aug)

  • Week 31 (7 Aug - 11 Aug)

  • Week 32 (14 Aug - 18 Aug)

  • Week 33 (21 Aug - 25 Aug

Each week gets the same answer options, for this we use the Duplicate button.

  • Monday

  • Tuesday

  • Wednesday

  • Thursday

  • Friday

  • I'm always available this week

We also add an open question for any additional comments. At the moment it is mandatory to fill in every question when answering the poll. The option for optional questions will be added in a future update.
